The Z83 form is the only official application form accepted for South African government jobs. Every post advertised by every national and provincial department requires it — and if you fill it in incorrectly, your application will be disqualified before anyone reads your CV.

First: Download the Correct Z83 Form
There is only one valid version of the Z83 form — the one gazetted on 6 November 2020, which became mandatory on 1 January 2022. The DPSA has not issued a new version since then.
Do not use any older version. If your form has different section headings, more than 8 sections, or looks different from the one below — it is outdated and your application will be automatically disqualified.

The 8 Sections of the Z83 Form
The current Z83 has 8 sections (A through H) plus a Declaration. Here is what goes in each one.
Section A — Post Details
This is where you identify the specific job you are applying for. You need:
- The exact post title as it appears in the DPSA circular
- The reference number (e.g. HR4/26/06/10HO) — this must be copied exactly, including slashes and capitalisation
- The department name exactly as advertised
- The closing date of the post
Common mistake: Leaving the reference number blank or writing it incorrectly. Each post has a unique reference number and without it the department cannot match your application to the vacancy.

Section B — Personal Information
Your full names, surname, ID number, date of birth, gender, race, and disability status. The ID number is the most critical field — it must match your South African ID document exactly.
Race and disability are required for employment equity reporting purposes. You must answer both questions.
Section C — Contact Details
Your current postal address, residential address, phone number, and email address. Use an address where you can reliably receive correspondence — departments sometimes send letters by post.
Section D — Language Proficiency
List the languages you speak and your proficiency level (read, write, speak) in each. Be honest — this is sometimes tested at interview stage.
Section E — Education and Training
Your highest qualification, the institution where you obtained it, and the year of completion. You do not need to list every qualification — only the one most relevant to the post, or your highest.
Section F — Employment History
Your current and previous employment. For each position: employer name, job title, start date, end date, reason for leaving. Current employment must be included.
Section G — References
Three references with their full names, job titles, organisations, phone numbers, and email addresses. References must be people who can speak to your work performance — not family members or friends.
Section H — Additional Information
Questions about criminal convictions, pending cases, dismissals from previous employment, and whether you currently hold a position in the public service. You must answer all questions honestly — false declarations are grounds for dismissal.
The Declaration
Sign and date the form. The date must be the date you are actually signing the form, not the closing date of the post. Do not pre-date or post-date the declaration.
8 Z83 Mistakes That Get Applications Rejected
These are the most common reasons government job applications are disqualified before anyone reads the CV.
1. Using an outdated Z83 form Any version of the Z83 published before November 2020 is invalid. If your form has "Section I" or "Section J" or looks different from the current 8-section format, download a new one.
2. Wrong or missing reference number Every post has a unique reference number. If you leave it blank or copy it incorrectly, the department cannot match your application to the vacancy.
3. Submitting one Z83 for multiple posts Each post requires its own separate Z83. If you are applying for three jobs, you need three forms — each completed individually with the specific post details.
4. Not signing the declaration An unsigned Z83 is automatically invalid. Sign in black ink. Make sure the signature is on the correct line.
5. Using electronic signatures Government departments do not accept electronic or digital signatures. You must print the form, sign it by hand, initial every page, and scan or submit the physical document.
6. Submitting after the closing date Late applications are never accepted, no matter the reason. The DPSA is explicit about this. Submit at least a day before the closing date.
7. Leaving mandatory fields blank All fields in sections A through H must be completed. If a question does not apply to you, write "N/A" — do not leave it blank.
8. Not including the correct supporting documents The Z83 must be accompanied by: a comprehensive CV, certified copies of qualifications, and a certified copy of your ID. Some posts require additional documents — check the circular carefully.
